This policy is designed to reflect the Australian Privacy Principles where they apply to our activities. Some small businesses may not be covered by every part of the Privacy Act 1988 (Cth), but we still aim to handle personal information transparently and responsibly. This policy is not a substitute for a collection notice shown at the point particular information is collected.
Who we are
“AI Leverage”, “we”, “us” and “our” refer to the AI automation and AI receptionist service operated from Brisbane, Queensland, Australia. We help service businesses configure AI voice receptionists, CRM workflows, lead follow-up and related automation.
Privacy enquiries can be sent to [email protected].
What personal information we collect
The information we collect depends on how you interact with us. It may include:
- Identity and contact details: name, business name, phone number, email address and location or service area.
- Business enquiry details: industry, services, call-handling needs, FAQs, opening hours, booking process, business challenges and preferred next steps.
- Conversation information: chat messages, call recordings, transcripts, summaries, sentiment or outcomes where those features are enabled.
- Booking and CRM information: appointment preferences, lead status, consent records, tags, notes and communication history.
- Technical information: device, browser, IP address, referring page, website activity and cookie or analytics information.
- Billing information: product, subscription and transaction status. Payment-card details are generally collected and processed by our payment provider rather than stored by us.
- Referral information: affiliate or referrer identifier, referred lead and attributable sale information.
Please do not provide sensitive information through a public demonstration unless it is reasonably necessary and we have asked for it. Our demo is not intended for medical histories, government identifiers, financial-account credentials or confidential legal information.
How we collect information
We may collect information directly from you when you speak with an AI voice agent, use website chat, complete a form, book an appointment, purchase a service, send an email or participate in onboarding.
We may also receive information from a person who refers you, from a business client that asks us to configure a service, from connected calendars or CRM tools, and automatically through cookies, analytics and communication systems.
Why we collect and use it
We use personal information for purposes reasonably connected with our business, including to:
- answer questions and demonstrate the AI receptionist service;
- qualify enquiries and identify whether the service may be suitable;
- book appointments, arrange callbacks and send confirmations;
- create or update CRM records and avoid asking you to repeat known details;
- prepare proposals, onboard clients, configure agents and provide support;
- process payments, subscriptions, referrals, commissions and account administration;
- review service quality, diagnose problems and improve approved prompts, FAQs and workflows;
- protect our systems, prevent misuse and meet legal or regulatory obligations; and
- send relevant marketing where permitted, with a way to opt out.
We aim to collect only information reasonably necessary for these purposes.
Voice conversations, recordings and AI-generated information
Our website may let you speak with an AI receptionist using your browser microphone. The agent is configured to identify itself as AI. Your browser controls whether microphone access is granted.
When enabled, a voice conversation may generate audio, a transcript, a summary, contact-field updates, qualification information, appointment actions and workflow events. AI-generated summaries or classifications may contain errors, so important decisions and unusual requests should be reviewed by a person.
Authorised conversation data may be reviewed to identify repeated questions, booking friction, unmet demand and possible improvements. The demo agent is not intended to make medical, legal, financial, emergency or other high-impact decisions. Production agents should use approved knowledge and human escalation rules.
Overseas processing and disclosure
Some technology providers and their infrastructure operate outside Australia. Personal information may therefore be processed or stored in the United States and other countries where our providers or their subprocessors operate. The exact locations can change as providers update their infrastructure.
Where the Australian Privacy Principles apply, we take reasonable steps appropriate to the circumstances when using overseas providers. You may contact us for current information about the providers relevant to your interaction.
Security, access and retention
We use administrative, technical and access controls designed to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure. No internet-connected system can be guaranteed completely secure.
Access to CRM records, recordings and transcripts should be limited to people who need them. We retain information only for as long as reasonably necessary for the purpose collected, service delivery, dispute handling, accounting, security and legal requirements. Information may be deleted, de-identified or archived when no longer required.
Direct marketing, cookies and analytics
We may use contact details to follow up an enquiry or send information about relevant services where permitted. Marketing messages should include an unsubscribe option. You can also opt out by emailing us. Transactional, security and service messages may still be sent when necessary.
Our website and service providers may use cookies or similar technologies for page operation, analytics, attribution, referral tracking and improving the customer journey. You can control many cookies through your browser, although disabling them may affect site features.
Access, correction and privacy complaints
You may ask whether we hold personal information about you, request access to it or ask us to correct inaccurate information. We may need to verify your identity and may refuse or limit a request where permitted by law, explaining the reason where required.
If you believe we have mishandled your information, email [email protected] with enough detail for us to investigate. We will acknowledge and assess the complaint and aim to respond within a reasonable period.
If you are not satisfied and the Privacy Act applies, you may contact the Office of the Australian Information Commissioner.
Information handled for our business clients
When we configure or support an AI receptionist for a client, that client may decide what customer information is collected and why. In those circumstances, the client is generally responsible for its own privacy notices, consents, call-recording disclosures, retention choices and lawful instructions. We handle the information to provide the agreed service and support.
People contacting a client’s receptionist should direct requests about the client’s customer records to that client first. We will reasonably assist our client with valid requests where appropriate.
Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version will be published on this page with an updated effective date. Material changes may also be communicated through our website or directly where appropriate.
